Position Summary: Working within the Development Office, this position will provide support for all database and portfolio management work. This position is responsible for database management and ensuring the accuracy of all data, which includes gift processing, account maintenance and routine reporting. The coordinator will work within Neon One CRM, GiveSmart and other required software to import records, create email and direct mail lists, and provide prospect research in the form of detailed donor briefing documents. In addition, the coordinator will assist with moves management and portfolio management, ensuring prospect research, portfolio assignments, meetings, and donor stewardship activities are recorded in the database. This position will also ensure all donors are consistently and properly stewarded for donations.

  • Software proficiency in Excel, donor database systems (NeonOne or similar), Microsoft Office and Google Workspace.

 

Education/Experience:

Hold a BA or BS degree from an accredited postsecondary institution or comparable experience; preference for degree or experience in a related field, and a minimum of two years of experience in a related field.

Database Management:

  • Primary administrator for NeonOne CRM system. In-depth knowledge of NeonOne system and ability to run queries, exports and imports of data
  • Working knowledge of various fundraising platforms including GiveSmart
  • Maintain database standards using LCA’s Donor Database Policies. Learn new software features as they are released.

Portfolio Management:

  • Update prospect research briefings utilizing wealth insights data and NeonOne notes
  • Aiding in moves management processes by updating opportunities and their status
  • Work with Director of Annual Giving to update portfolio assignments with proper fundraiser(s)
  • Track stewardship activities in NeonOne to ensure all donors are properly thanked

Administrative:

  • Regularly pull and clean mailing lists
  • Oversee all reporting and forecasting work
  • Oversee all portfolio management work including ensuring portfolios are properly aligned and updated; providing portfolio reports; and supporting all portfolio management meetings
  • Build dashboards for regular senior leadership and board reporting
  • Ensure all stewardship tasks are completed and reflected in the database
  • Oversee all stewardship administrative tasks including regular tax receipt process and annual tax statements
  • Complete prospect briefing notes for all new families and all top donors on an annual basis; update all briefing notes before and after meetings take place
